As a busy clinic, we use deposits to allow patients to have a consultation slot that works best for them. If patients are not sure if they will attend, or what they want, it is likely that they will not pay a deposit. The uncertainty means that a client could waste a slot that might be desired by another patient. That is the rationale for creating a deposit system, which we find fair for recognising the time allocated. This will create a more efficient service for you and us.
Deposits cover the running costs of the clinic to ensure we can continue to stay open and provide excellent service every day. We do not make a profit from deposits as we deduct the deposit amount from your treatment fee. It protects us and helps us provide high-quality service.
The alternative of not taking deposits would be a rise in the treatment fee. However, we ultimately believe it is not fair that every patient should have to pay (with a rise in treatment fee) to cover the risk of other patients not turning up to their appointment. So, rather than the entire patient base picking up the responsibility of this, we use deposits to offer the fairest system to every patient.
We understand how it may be out of your control if you suddenly cannot attend your consultation. No one accepts to pay a deposit without expecting that they can’t attend the consultation. However, the concept of taking deposits covers for these eventualities. The business loss of repeated missed appointments could quickly spiral. Deposits protect the running of the clinic to ensure we can remain open and provide the best service.
Deposits are strictly non-refundable. However, if you give us a minimum of 72 hours notice before your appointment the deposit can be carried over to another date. To change to an appointment slot within 72 hours of the original slot, we can transfer the appointment with your existing deposit. If we do not have the diary space available, then the appointment will not be able to be moved. If you miss your consultation, the deposit is non-refundable.
Â
If you have your treatment on the same day of your consultation (this is applicable for injectables ONLY), the deposit will be deducted from your treatment fee. If you book multiple consultations, paying multiple deposits to reserve your appointments, the deposits are only redeemable against the treatment you booked them for. For example, if you book consultations for cheek enhancement, tear trough and peel, you will have three separate consultations booked. If you only proceed with the peel, then the deposit you put down for the peel will be deducted from your treatment fee. If you do not book in for treatment after your cheek enhancement and tear trough consultations, then the deposits for each are non-refundable.
This is helping you to consider carefully what you would really like treated and give the best service tailored to you.
Â
We understand that no one foresees why one may not be able to attend a planned consultation. In the interest of fairness, we have the same rule for every patient with no exceptions. We warn you at the time of booking about the cause of non-fundable deposits. You take the responsibility to ensure you attend your booking consultations or unfortunately you will be advised that the deposit is non-refundable, regardless of the reason behind it.
Unfortunately, if you are more than 10 minutes late to your consultation then we reserve the right to cancel the appointment with a non-refundable deposit.
This is purely to maintain the high quality of service and running of the clinic.

Consultations are 30 minutes long for laser hair removal, for example, to ensure there is enough time to assess the treatment area and provide a patch test. The quality of this consultation cannot be rushed in 20 minutes. Also, with back to back appointments booked, we cannot delay the time slots of other patients to accommodate your lateness as that would not be fair to the other patients. Consistent late arrivals can have a negative knock-on effect throughout the day.
Please do your best to be on time. If you are running late, please get in touch to discuss your options.
No. The deposit we request for you to book your consultation is your consultation fee. Our nurse prescribers are highly trained and are experts in their fields. You are paying for their qualified and knowledgeable time.
Your deposit is then deducted from the treatment fee if you go ahead or book in for the treatment you had the consultation for.
If you are not sure or are not completely on board with our deposit policy, then you should take the time to consider the treatment you want in more depth and not book in. We’re not going anywhere, and would rather you make the right decision with the treatment you truly want, rather than a rushed decision.
It is against our good medical practice to fully ensure that you can receive your treatment after your consultation. However, this applies for injectables depending on patient’s suitability. This can be a result of various reasons, for example, overfilled lips, scar tissue, allergies, medications, blood supply, nerve supply, anatomical quirks, on-going medical conditions, the herpetic virus, immunosuppressants, and many more. All of these can prevent you from receiving your treatment on the day.
Â
We cannot cover every possibility as there is an extensive list as to why. Also, it takes a qualified, trained nurse prescriber to have a face-to-face full assessment to provide the best treatment plan for you, considering your options and outlining what results you can expect.
Â
Unfortunately, we do often have to turn patients away after their consultation. Commonly, this is due to either an existing medical condition, undisclosed information or the presence of previous poorly administered filler from another clinic. As these can only be assessed face-to-face during the consultation, it is unfortunate that we have to deny treatment, but it’s part of our good medical practice.
Â
The purpose of the consultation is to fully assess your suitability for treatment. This is why we also ask for your medical history and consent forms at this stage. If we feel you are rushing into treatment, or have body dysmorphic tendencies, we take our duty of care very seriously so we may not agree to treat you for these reasons as well.
In our considerable experience, however, patients are clear with their background to ensure they receive the best treatment tailored to them. It is your responsibility to let us know of anything that could affect your treatment. Such as on-going treatments, pregnancy or nursing, under the age of 18, existing medical conditions, or medications you’re taking.
It is possible for us to inject over the filler work of other clinics, only if the previous filler is smooth and in the correct place. If the filler has been poorly administered, we cannot guarantee our expert results by injecting over the top. In this case, we would need to dissolve your previous filler first, please see the Hyalase dissolve information for treatment and price options.
If you have a major event such as a wedding coming up, we have a policy in place that we will not treat you within 8 weeks of the events. This ensures you have time for any side effects such as significant swelling, bruising, tenderness and redness to reduce fully. Typically, side effects heal within 2 weeks. However, due to the major event, we wish to provide the best service and results for you in time for the event. Please get in touch if you have a major event coming up that you require treatment for.
We recommend you ask your GP for Acyclovir to prevent a break-out before your treatment. To help prevent a trigger we can give you Acyclovir after treatment as well if it is known to us that you carry the herpes virus. We cannot guarantee against breakouts post-treatments, due to the risk of how breaching the skin barrier can trigger a break-out for individuals who carry the herpes virus. Despite this, we find the prescription antivirals to be very effective.
We will not be liable for patient travel expenses if you cannot be seen on time, if we have to cancel a booked appointment or if you are unable to receive treatment. We strongly recommend that you allow enough time in your travel plans to accommodate eventualities such as these. We do our best to work with our patients to accommodate their circumstances, we cannot reimburse you for any monetary loss accrued from travel arrangements. Similarly, this applies to any missed work you have scheduled to attend your appointment.
The purpose of review appointments is for patients who are concerned with their recovery process post-treatment with us. Review appointments do not require a booking deposit, please get in touch if you need to book a review appointment with us or book online under the existing patients section. It is at the nurse prescriber’s discretion if further treatment is required, there will likely be an additional cost for necessary adjustments. This will all be discussed with full transparency in your review appointment.
